Midsize companies average about $100 to $200 per user per month, according to Dataprise's 2026 pricing guide. Your right number depends on what's included, so compare the scope before you compare the price.
That figure comes from one MSP's published guide, not an independent survey. Treat it as a reference point, and expect real quotes to vary.
What moves the price
- Users and devices: more of either usually raises the monthly cost.
- Scope: cybersecurity, compliance and cloud management add value and cost.
- Your industry: regulated fields like healthcare and finance can cost more.
- Service level: 24/7 monitoring and faster response usually cost more.
- Add-ons: advanced security, compliance and disaster recovery may be priced separately.
How to compare two quotes
A lower price can mean less is covered. Put each quote side by side and ask:
| Question | Why it matters |
|---|---|
| Is security included? | Endpoint protection, email security, MFA support and who watches the alerts |
| Are backups included? | Including Microsoft 365, offsite copies and restore testing |
| What about after hours? | Some plans cover business hours only |
| Are projects included? | New hires, moves and upgrades can be billed separately |
| What's the out-of-scope rate? | This is where a low monthly price can grow |
| Are there setup fees? | Some providers charge a one-time onboarding fee |
| Is licensing included? | Microsoft 365 and other licenses may be extra |
Work out your true cost
Add up last year's monthly fees, project charges, out-of-scope bills and licenses, then divide by your number of users and by 12. That's the number to compare, and it's often different from the one in the contract.
Is your MSP too expensive?
Price alone won't tell you. A higher bill can be a good deal if it covers more, and a low one can leave gaps you find out about during an incident or a Cyber Insurance Renewal. The better question is whether you're getting what you pay for.
Find out if your price is fair.
The MSP Assessment checks whether pricing and service levels are fair for what you get, with a fixed price from $1,950.
